Ashfield has an exciting opportunity for a business-minded individual to join the Takeda Business Unit Team in High Wycombe as a Business Unit Support Coordinator. 

The role will involve providing an efficient support service to 4 Business Units and Head Office functions as well as supporting the BU Support partner with regards to expenses and expenditure processing, HCP Meeting management as well as appointment booking service for sales force.

The successful candidate will have experience working in a fast paced environment with the ability to multitask and prioritise. It is essential you have great customer service skills as you will be liaising with key clients, competent in using Excel and have experience raising purchase orders and reconciling invoices. 

Key Responsibilities

• Checking and authorising sales force CRM customer facing expense claims to ensure compliance with SOPs
• Coordinating the circulation and/or withdrawals of materials
• Appointment booking and diary management for sales force members
• Making contact with proposed meeting attendees in accordance with lists provided
• The preparation of meeting materials for the sales force to gain compliance approval. This includes production of accurate high quality invitations and reply paid cards and production of certificates of attendance, collation of responses and liaising with prospective delegates
• Providing ongoing support with regard to training events and both regional and national meetings
• Supporting the Takeda Business Unit Support Partner with processing internal Takeda paperwork in connection with POs, invoices and personnel expenses.
• Any other relevant tasks and duties

Essential Skills 

• Strong academic background including GCSEs A*-C in English and Maths, as well as A-Levels or equivalent in a business related area
• A degree in a relevant field such as Business Administration/Management would prove beneficial but is not essential
• Demonstrable experience in call handling, compliance and other related areas
• Experienced in raising purchase orders and invoice reconciliation 
• Personal attributes should include an ability to work under pressure, excellent communication skills and a proactive, results orientated attitude
• Business acumen and commercial awareness is vital for success in this role.
