Position: Order Processing and Administration Assistant

Location:  Reading

Vacancy Type: Permanent

Ashfield is currently recruiting for an Order Processing and Administration Assistant to be based in our client’s office in Guildford. We are looking for a highly organised, versatile individual with previous administration experience to be responsible for a unique function within a busy Order Processing team. 



Key Responsibilities


• Raising all POs for the Supply Chain Team – including follow up & assisting invoice queries

• Managing orders in e-Buy and reconciliation of the orders

• Assist the team in relation to order to delivery

• Creation of accounts for new starters, including hardware, access to systems and on-boarding

• General day to day queries from the Supply Chain Team – ordering item, setting up new vendors, arranging signatures on documents, requesting access to systems, submitting intercall   requests 

• Assisting the Head of Supply Chain as required 

• Arranging Internet and weekly newsletter announcements of new starters

• Diary Agenda Management, including arranging meetings, TCs, booking meeting rooms and arranging refreshments. 

• Event Management –arranging off-site meetings for the Supply Chain Team – collating responses, menu choices, all logistics (regarding the day) and pulling together the joining   instructions

• Sourcing team building companies

• Flights/accommodation arrangements 


Essential Skills 


• A minimum of 2 years’ previous administration experience is desirable, demonstrating strong examples of use of initiative and adaptability. 

• Excellent time management skills

• GCSE / ‘O’ Level Mathematics and English required (Grade C or above). 

• Excellent working knowledge of Microsoft Office systems including Word, Excel and PowerPoint and Database systems. 

• Excellent telephone manner and effective interpersonal skills.  

• Experience with raising POs in SAP and organising Agendas and events is preferred.
