Ashfield have an exciting role for a Brand Support Co-Ordinator to join out client on a headcount basis. Our Client is a subsidiary of a global pharmaceutical company and their portfolio consists of high-quality generics.

The Brand Support Co-Ordinator will organise and coordinate office administration and procedures. The role will also involve assisting all commercial and support functions to fulfil their objectives as defined through Business Unit priorities.

We are seeking candidates with good general knowledge and experience of handling a wide range of administrative support related tasks for commercial, office management and finance. The ideal candidate will be customer focused, professional, highly flexible with a can-do approach.

Key Responsibilities

Commercial Team support: Respiratory & Neurology functions.

       Support the business with agreed project management requirements focused on achieving the brand tactical deliverables.

       Support the content management of online brand platforms and associated deliverable schedules where agreed.

       Accountable for the maintenance of up-to-date sales force campaign briefs in line with the active promotional sales materials.

       Responsible for the daily brand budget management, including processing of invoices in conjunction with finance. Ensure transparency across the business at all times reporting summarised data to the team highlighting variances and gaps where appropriate.

General Office:

       Responsible for building and maintaining relationships with our landlord, neighbours and outsourced providers, including negotiation of preferential rates / service level agreements, with the support of Legal as required.

       Liaise with facility management vendors, including cleaning, catering and security services. Where needed arrange necessary repairs. Serves as a liaison to vendors.

       Responsible for managing the office environment and equipment, including ensuring Health & Safety obligations are met. Maintains the office condition assuring common areas and boardroom are in good order.

       Works with Vice Presidents to provide administrative support, such as travel, correspondence, meeting set up when required.

       Organises office operations and procedures and pro-actively looks to make improvements

       Works with Head of UK Finance with Basic Credit Control support.

       Raise Purchase Orders (PO’s) as required and liaise with the procurement team in India to ensure PO requests are processed in a timely manner.

       Setting up new vendor accounts with the AP Team in India.

       Managing invoices, uploading to the AP team in a timely manner, checking payments details.

       Reconciling invoice balances to statements.

       Managing Petty cash. Providing monthly accounting statements to the team in India

       Supports HR Manager in planning in-house and occasional off-site activities.

Essential Skills

       2 years + experience within in a similar role. Understanding of the pharmaceutical industry highly desired.

       Good general knowledge and experience of handling a wide range of administrative support related tasks for commercial, office management, finance and IT would be advantageous.

       Strong organisational skills and attention to detail in terms of document management and filing.

       Ability to quickly embrace computer-based business systems and become an expert user. Experience of Veeva advantageous.

       Has had previous experience of dealing with outsource providers and effectively managing those relationships to deliver maximum value.

       Excellent time management skills and ability to multi-task and prioritise work.
