Ashfield Engage currently have the pleasure of partnering with a rapidly growing US based pharma company to recruit an Executive Assistant / Office Manager to work at their new Head Office in Gerrards Cross, Buckinghamshire. In this role, you will be responsible for looking after the administration of the UK office on a day-to-day basis and support the UK based leadership team, so if you’re a detail- oriented, self-starter, this is a great opportunity for you!

Key Accountabilities:

  • Maintain calendars for leadership team especially General Manager.
  • Manage scheduling and travel for leadership team.
  • Prepare corporate documentation (including minutes of Leadership meetings).
  • Organise and prepare for meetings (including national meetings), including gathering documents and attending to logistics of meetings.
  • Organise office operations, designs and maintains office administrative systems.
  • Manages office budget, office supplies inventory and places orders as necessary, liaises with suppliers.
  • Manage marketing material and documentation as required, including shipping when required.
  • Responsible for maintaining contracts and disclosure agreements and requirements databases
  • Greets visitors, answers, and directs phone calls.
  • Receive and sort incoming mail and deliveries and manages outgoing mail.
  • Uses a range of software packages.

Experience and Skills:

  • Minimum 4 years’ experience as an Executive Assistant (supporting a senior leadership team) or office/administration manager and team assistant
  • Be a detailed-oriented self-starter with prior experience in the pharma industry
  • Reliability and discretion
  • Excellent communication and interpersonal/verbal skills
  • Exceptional writing, editing, and proofreading skills
  • Excellent organizational and time management skills
  • Supply management and inventory control
  • Proficient with office software Microsoft Office products
  • Strong problem-solving skills
  • Analytical abilities, budgeting skills, attention to detail
  • Fluent English speaker
  • Bachelor's degree in business administration, communications, or a related field
